How to Back Up Your University Google Account (Google Takeout)

Quick steps you can paste into a Blogspot post. Back up your emails, Drive files, and contacts before your account is deleted.

  1. Open Google Takeout
    Visit takeout.google.com and make sure you are signed in with your university account.
  2. Click Deselect all
    Google selects almost everything by default. Click Deselect all so you only export what you need.
  3. Google Takeout - Select data to include page

  4. Select what to export
    Choose only the important items:
    • Mail — all Gmail messages (MBOX)
    • Drive — all files you own in My Drive
    • Contacts — saved contacts
    Optional: Photos, Keep, Calendar only if you use them.
  5. Click Next step
    At the bottom of the page, press Next step to set export options.
  6. Choose export settings
    Recommended settings:
    • Delivery method: Send download link via email
    • Frequency: Export once
    • File type: .zip
    • File size: 2 GB (default is fine)
  7. Click Create export
    Google will prepare your backup. This can take minutes or hours depending on size. You will receive an email when it is ready.
  8. Download the files
    Open the email titled "Your Google data is ready to download" and click the link. Save the .zip files to your computer or external drive.
Tip: Google Takeout only makes a copy — it will not delete your account or data. Keep the downloaded .zip in a safe place (external drive or personal cloud).
